Admin is a houseguest who never leaves. You let it in for "just a minute" at 9am, and at 3pm it's still on your couch, eating your snacks, asking if you've updated the transaction folder yet.
And the worst part? Admin feels productive. You're typing, clicking, filing, replying. Your hands are busy. You go to bed tired. But busy hands and a full pipeline are two very different things, and only one of them pays the mortgage.
Which income-producing activities for realtors count
Let's define it plainly, because this is where a lot of us fudge. An income-producing activity is one that directly puts you in a conversation with someone who could become a client or send you one.
Calling your sphere counts. Following up with a lead counts. A listing appointment counts. Coffee with a past client counts. Writing a thoughtful note to someone who just bought down the street from your listing counts.
Reorganizing your CRM tags? Lovely. Necessary, even. Not income-producing. Redesigning your email signature for the third time? We both know.
Why admin always wins
Admin has a built-in advantage: it comes with deadlines and other people waiting on you. A lender needs a document. Your broker needs a form. The inbox has a little red number on it that grows every time you look away.
Income-producing work has no deadline and nobody waiting. No one is going to text you, "Hey, you were supposed to call me today to see if I'm thinking about selling." So it gets bumped. And bumped. And then it's next month and you're wondering why things feel slow.
Give income work the first slot
The single most useful change most agents can make is boring: do some income-producing work before you open email. Even twenty minutes. Even five calls.
The inbox will absolutely survive. It's been waiting all night; it can wait until 9:30. And once the most important work is done, the rest of the day can go sideways without wrecking you, because the thing that actually grows your business already happened.
Corral the admin
Admin doesn't go away, so give it a pen. Pick a block of time, maybe after lunch, and do it all at once. Forms, filing, scheduling, CRM updates. Batching it means you're not switching back and forth all day, which is exhausting in a way that's hard to explain until you stop doing it.
If something is truly urgent, handle it. Most "urgent" admin, though, is just admin wearing a fake mustache.
And don't forget marketing
Marketing sits in its own category. It's not quite income-producing (nobody's hiring you mid-scroll... usually), but it's not admin either. It keeps you visible so the income conversations are warmer when you have them. Give it its own time instead of letting it sneak into your prospecting hour disguised as "work."
Seeing it on paper changes things
Try this for a couple of days: before you start, label every task on your list as income, admin or marketing. Most people are surprised how lopsided it looks. Lots of admin, a little marketing, and a lonely couple of income tasks at the bottom.
Just seeing that is often enough to flip the order.
